Who we are

Ross & Sons Digital Ltd provides RSD Orbit and is the data controller for personal data about our customers' account users and website visitors. For property and client records that agencies store in RSD Orbit, the agency is the controller and we process that data on their behalf.

Data we collect and why

• Account data (name, email, login credentials) — to create and secure your account (contract).
• Agency and business details — to provide the service (contract).
• Support messages — to help you (contract, legitimate interests).
• App reviews (member name, email, rating, optional feedback and timestamps) — to review feedback and improve the service. Authorised platform administrators can view reviews (legitimate interests).
• Usage data, device identifiers and IP address — for security, fraud prevention and improving the product (legitimate interests).
• Marketing preferences — to send product updates where you've agreed (consent).

We also process data where required to meet legal obligations.

Who we share it with

• Service providers who host and run the service, including hosting, database and AI processing providers.
• Paddle.com, our Merchant of Record, for selling the product, subscription management, payments, tax compliance and invoicing.
• Professional advisers such as lawyers and accountants.
• Authorities where required by law.

International transfers

Some providers may process data outside the UK/EEA. Where they do, we rely on adequacy decisions or standard contractual clauses.

Retention

We keep account data while your subscription is active and for up to 6 years afterwards for legal and accounting purposes, then delete or anonymise it.

Your rights

Under UK GDPR you can request access, correction, erasure, restriction, portability, object to processing, and withdraw consent at any time. We respond within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).

Security

We use appropriate technical and organisational measures including encryption in transit, access controls and strict separation of each agency's data.

Cookies

We use only essential cookies and local storage needed to keep you signed in and the service working. We do not use advertising cookies.
